To measure email marketing usefully, connect the report to what you wanted the reader to do. An educational email, an assessment result and a service offer have different jobs, so they should not all be judged by the same open-rate target.
Choose the intended outcome first
Write one sentence explaining the purpose of the email. For example: “Help subscribers prepare a website brief” or “Invite people interested in content support to discuss a monthly plan”. Then choose the measures that relate to that purpose.
A guide email might be judged by useful visits and follow-up questions. A service email might be judged by relevant replies and enquiries. Keep delivery and unsubscribe information alongside those outcomes so you can see whether the experience is working for subscribers.
Understand the limits of open tracking
Email opens rely on tracking that does not provide a perfect record of reading. Apple’s Mail Privacy Protection can prevent senders from seeing whether a message was opened. Image settings and automated activity can also affect reports.
Apple explains the feature in its Mail Privacy Protection guidance. Treat open rate as one piece of context rather than proof that a particular person read, ignored or disliked an email.
Build a small scorecard
- Delivery: Were messages accepted, delayed or bounced?
- Useful clicks: Did readers follow the main advice or service link?
- Replies: Did the email produce questions or conversations worth following up?
- Relevant enquiries: Did suitable customers ask about the service or project?
- Next-stage outcomes: Did an enquiry become a quotation, meeting or agreed piece of work?
- Preferences: Did subscribers unsubscribe or change what they wanted to receive?
You do not need a complex dashboard to begin. A simple record of the campaign, purpose, link and resulting enquiries can reveal more than watching opens alone.
Follow the link all the way through
Click the main link on a phone and check the destination. Does it continue the promise in the email? Is the advice readable? If the reader wants help, can they understand the service and make contact?
An email can generate clicks while a weak landing page prevents enquiries. Check that the form delivers and that the team responds. Our enquiry form guide helps test that part of the route.
Record attribution with sensible limits
Use consistent campaign tags where appropriate and record what customers say about how they found you. A subscriber might read an email, visit later through search and then call. The last click does not necessarily describe the whole decision.
When reporting results, distinguish an enquiry that came directly through a tracked link from one that may have been influenced by the series. Avoid claiming every sale during a campaign as an email result. Keep the evidence and the explanation together.
Compare like with like
Compare emails with similar purposes and audiences over a useful period. An assessment result may receive more clicks than a general newsletter because the reader actively requested it. A specialist service email may reach fewer people but generate better-fitting enquiries.
Record subject, audience, send time, main destination and any significant changes. Change one important element at a time where possible. Small audiences produce noisy percentages, so include the actual numbers in your review.
Turn the review into an improvement
If readers click a guide but then ask the same unanswered question, improve the guide. If enquiries are poorly matched, clarify the offer. If replies show interest in another topic, adjust the follow-up so it becomes more relevant.
Use the welcome planning guide to review the first few messages and the re-engagement guide for later interest choices. Good measurement should help you decide what to improve next, rather than produce a report with no action attached.
